Ok, here's what I'm thinking so far. Please read this entire post and let me know your thoughts.
Assuming it happens, the party will be strictly BYOB. There will be no open access to alcohol like before. Everyone will pre-pay for food, with the extra going to charitable causes. Based on 800 people I think we can feed everyone cheeseburgers and hot dogs, provide the supplies, get a few porta-potties, and pay a band and a DJ for around $3k. If we charge $10 per person that's $8k in revenue, so net proceeds would be around $5k.
If we sell 200 T-shirts at $25 each, we should net around $3k in T-shirt sales.
With this approach I wouldn't split out the item assignments like the last 2 years. We would keep track of how many people paid, and buy the stuff according to the number of people. This is similar to what the NC crew did in Raleigh last year.
I'm starting the process of setting up a 501(c)3, but if we're talking April it probably won't be ready in time. In that case I'll work with one of our registered non-profits from last year to become an authorized fundraiser for them.

Other tailgates have similar items just not nearly on such a grand scale as we do. We may just have to make some "private" arrangements with our phriends to share items but not with wristbands and filling up the pavillion with alcohol. I can't imagine a FFF without Pharmade and jello shots myself but I'm sure those things can be worked out. It might even work out to be cheaper in the long run.

This sounds great and a lot easier for the most part. Last year was awesome, but keeping track of everything must have been a headache!
